A video call freezes just as a client joins. Warehouse staff lose access to cloud systems at the far end of the building. Employees move to the meeting room because it is the only place their laptops stay connected. These are not minor annoyances. They are signs that your network is limiting productivity. Knowing how to improve Wi-Fi coverage starts with treating wireless as business infrastructure, not an add-on router in a cupboard.

For many organisations, the problem is not simply signal strength. Wi-Fi performance is affected by building materials, access point placement, the number of connected devices, network settings and the quality of the wired network behind it. The right fix depends on what staff need to do, where they work and how the business plans to grow.

Start by identifying where Wi-Fi fails

Before buying extra hardware, establish what is actually happening. Ask staff where connections drop, slow down or become unreliable. Map these reports against the office layout, including meeting rooms, reception areas, stock rooms, outdoor workspaces and any separate floors or buildings.

A weak signal is one possibility, but it is not the only one. A device may show a strong Wi-Fi connection while users still experience poor performance because too many people are sharing one access point, nearby networks are causing interference, or the internet connection itself is under pressure.

Pay particular attention to recurring patterns. Problems during busy periods can point to a capacity issue. Problems in one room may indicate poor placement or materials such as reinforced concrete, foil-backed insulation, metal shelving and fire doors blocking the signal. Issues affecting a particular application may be caused by network configuration rather than coverage.

A professional wireless survey gives a clearer picture. It measures signal levels, interference, roaming behaviour and expected capacity across the premises. This is particularly worthwhile for multi-floor offices, schools, hospitality venues, warehouses, healthcare settings and businesses planning an office move or refurbishment.

How to improve Wi-Fi coverage with better access point placement

An access point works best when it is positioned for the people and devices using it, rather than where it happens to be convenient to install. Hiding one in a comms cabinet, placing it behind furniture or mounting it close to dense cabling can reduce its useful range considerably.

In most offices, ceiling-mounted access points positioned centrally within working areas provide more consistent results than a single powerful unit at one end of the building. Wi-Fi signals travel through some partitions reasonably well, but every wall, floor and physical obstruction reduces performance. Adding power does not solve every coverage gap and can create interference with neighbouring access points.

The aim is controlled overlap. Employees should be able to move from one area to another without calls dropping or devices clinging to a distant access point. This matters for businesses using Microsoft Teams, cloud phone systems, mobile scanners and other real-time applications.

Coverage should also reflect how the space is used. A boardroom filled with laptops, phones and video-conferencing equipment may need more capacity than a quiet corridor. A warehouse may require carefully positioned units to work around racking and machinery. External areas may need purpose-built outdoor access points rather than an indoor device pushed beyond its intended range.

Do not confuse coverage with capacity

A network can reach every corner of a building and still fail under normal demand. This is common where a business has added staff, adopted cloud applications or introduced hybrid working without reviewing its wireless design.

Each access point has a practical limit on the number and type of devices it can support well. A team of ten checking email creates a different demand from ten people running video meetings, transferring files or using cloud-based design software. Guest devices, smart TVs, printers, security cameras and wireless phones also compete for airtime.

Modern business Wi-Fi should therefore be designed around density as well as distance. In busy areas, several properly configured access points may be better than one high-powered device. The wired network must support them too. If access points are connected through older switches, limited cabling or insufficient Power over Ethernet capacity, wireless performance will suffer regardless of the equipment installed.

Use the right wireless standard and hardware

Older routers and consumer-grade extenders may be suitable for a small home office, but they are rarely the right long-term choice for a busy business. Commercial access points are designed to support more devices, centrally managed settings, stronger security and ongoing monitoring.

Wi-Fi 6 and Wi-Fi 6E equipment can improve efficiency in environments with many connected devices. Wi-Fi 6E introduces access to the 6 GHz band where compatible devices and local conditions make it appropriate. However, newer hardware is not an automatic cure. Older laptops and phones may not support the latest standards, and 6 GHz signals generally travel less far through walls than lower-frequency bands.

For this reason, an upgrade should begin with requirements, not specifications. Consider the size and layout of the site, the number of concurrent users, essential applications, guest access, existing switches and cabling, and planned changes over the next three to five years.

Reduce interference and configure channels properly

Wi-Fi shares radio spectrum with other wireless networks and, in some cases, everyday equipment. In offices with nearby businesses, blocks of flats or dense commercial premises, interference can be significant. The familiar approach of manually selecting a channel and leaving it unchanged is often ineffective as surrounding networks change.

A managed wireless platform can select channels and transmit power more intelligently, based on the environment. It should also make sensible use of the 2.4 GHz and 5 GHz bands. The 2.4 GHz band travels further but has fewer available channels and is more prone to congestion. The 5 GHz band usually provides greater capacity and speed at shorter range. Where suitable, compatible devices should be encouraged towards the less congested band.

Avoid installing multiple cheap range extenders as a permanent solution. Extenders can be useful in limited circumstances, but many halve available throughput because they receive and retransmit traffic over Wi-Fi. They can also make roaming less reliable. A wired access point, connected back to the network switch, is normally the more dependable option.

Give guest and business traffic separate routes

Improving coverage should not mean compromising security. Staff devices, guest devices, printers, building systems and internet-connected equipment should not all sit on the same unrestricted network.

Separate wireless networks and network segmentation help contain risk and keep business traffic prioritised. Guests can have internet access without visibility of company files, servers or printers. Devices such as cameras and smart meeting-room equipment can be isolated so that a vulnerable device does not provide an easy route into the wider network.

Security settings also need regular attention. Use modern encryption, strong administrative credentials and appropriate access controls. Retire old wireless standards where possible, keep access point firmware updated and remove accounts or devices that no longer require access. These steps are as relevant to business continuity as they are to cybersecurity.

Monitor performance after installation

A new Wi-Fi installation is not a fit-and-forget project. Office layouts change, staff numbers rise, new applications are introduced and neighbouring networks evolve. Without visibility, problems tend to be discovered only after users begin raising support requests.

Ongoing monitoring allows IT teams to spot overloaded access points, failing hardware, unusual traffic patterns and recurring connection issues before they become widespread disruption. It also provides useful evidence when planning upgrades or investigating whether a problem lies with Wi-Fi, the local network, an internet provider or an individual device.
