A new office can be a positive step for a business, but moving the IT estate is rarely as simple as packing desks and reconnecting cables. A missed circuit order, an untested Wi-Fi network or a server moved without a recovery plan can leave people unable to work on their first morning. Knowing how to plan office relocation properly means treating technology, security and business continuity as core parts of the move, not final-week tasks.
For most organisations, the best approach is to appoint one person with authority to coordinate the move, then involve facilities, finance, office management and IT from the outset. The plan should be proportionate to the business. A ten-person office using Microsoft 365 has different needs from a multi-site organisation with on-premise servers, specialist applications and compliance obligations. Both, however, need clear ownership, realistic lead times and testing before staff arrive.
How to plan an office relocation from the outset
Start planning as soon as a potential move is confirmed. Six to twelve weeks is often sensible for a straightforward office move, while larger or more complex sites may need significantly longer. Connectivity availability is usually the deciding factor. Fibre installation, wayleave approvals and building access arrangements can take longer than expected, particularly in shared or newly refurbished premises.
Create a move team and give each decision a named owner. This avoids the common gap between a landlord, fit-out contractor, telecoms provider, IT supplier and internal staff, where everyone assumes someone else has arranged an essential detail. Record deadlines, dependencies and escalation contacts in one move plan.
The first question is not which desks go where. It is what services must work from the first hour in the new office. These commonly include internet access, phone systems, Wi-Fi, Microsoft 365 access, line-of-business applications, printing, meeting rooms, security systems and remote access for hybrid staff. Rank them by operational importance, then identify the acceptable period of disruption for each.
Audit what you have before deciding what moves
An office relocation is an ideal opportunity to replace ageing equipment and remove technology that no longer supports the business. Moving obsolete switches, poorly documented cabling or unsupported servers only transfers risk to a new address.
Build an inventory that covers more than laptops and monitors. Include servers, storage, firewalls, switches, wireless access points, printers, meeting-room equipment, phone handsets, UPS units, network cabinets, software licences and specialist devices. Record serial numbers, locations, owners, warranty status and configuration details where relevant.
This audit should also identify hidden dependencies. A finance application may rely on a local server; a warehouse scanner may connect only to a specific wireless network; an alarm system may require a fixed IP address. These are the details most likely to cause disruption if discovered after the move.
For businesses with older on-site infrastructure, assess whether the new premises is the right moment to move selected workloads to the cloud, upgrade a server or introduce managed backup. That decision depends on cost, performance, compliance and the applications involved. Cloud services can reduce the amount of equipment that must be physically moved, but they do not remove the need for careful identity, security and connectivity planning.
Design the new site around the way people work
A floor plan should drive the network design, not the other way round. Confirm where teams will sit, where printers and meeting rooms will be located, which areas require strong wireless coverage and where the communications cabinet will be housed. The cabinet needs suitable power, cooling, security, space for growth and a sensible route for structured cabling.
Structured cabling is easily overlooked because much of it sits behind walls and ceilings. Yet it underpins wired devices, wireless access points, desk phones, printers, access control and CCTV. Agree cable runs, data-point locations and labelling standards before ceilings are closed or furniture is installed. It is far less costly to add the right outlets during fit-out than after staff have moved in.
Wireless design deserves the same care. A single access point may be adequate for a small, open office, while a larger space with meeting rooms, concrete walls or dense device use will need a site survey and multiple access points. Guest Wi-Fi should be separated from the business network, and visitor access should not expose internal systems.
Secure connectivity early and keep a fallback
Order the primary internet connection as early as possible and confirm the installation date in writing. Check the available speeds, service-level commitments, building entry point, router requirements and whether the supplier needs access to locked areas. Do not assume the connection available at a neighbouring unit can be delivered to yours on the same timetable.
A secondary connection is worth considering where internet access is business-critical. This might be a second fixed line, a 4G or 5G service, or a managed failover solution. The right option depends on the cost of downtime and the applications staff rely on. A small business may use mobile connectivity as a short-term contingency; a larger operation may need automatic failover tested under load.
Review firewalls, VPN access and network segmentation before go-live. A new office is a good opportunity to replace default passwords, remove former users and suppliers, apply firmware updates and ensure remote workers can connect securely. Cybersecurity controls should be ready before the first employee connects a device, not introduced after a problem.
Plan the move weekend in detail
The physical move needs a runbook with timings, responsibilities and a clear sequence. It should specify what is shut down, backed up, disconnected, transported, installed and tested, together with the people authorised to make decisions if something does not work as expected.
Before any server, storage device or network equipment is moved, verify that backups have completed successfully and can be restored. A backup that has never been tested is not a recovery plan. Keep a current copy of configurations for firewalls, switches, Wi-Fi and critical applications, stored securely away from the equipment being transported.
Where possible, pre-stage the new network before move day. Install the cabinet, switches, firewall, wireless access points and internet service in advance, then test them using representative devices. This separates site issues from moving-day pressure. If old and new offices overlap, maintain services at both locations for a short period rather than switching everything at once.
Use clearly labelled crates and a chain of custody for high-value equipment. Servers and storage should be handled by people who understand their shutdown, transport and restart requirements. Ordinary office movers may be well equipped to move desks, but IT equipment needs anti-static protection, suitable vehicles and care around temperature, vibration and physical security.
Test services before asking staff to return
The move is not complete when the equipment powers on. Test the services staff need to perform normal work: wired and wireless access, internet failover where applicable, Microsoft 365 sign-in, email, printing, voice calls, video meetings, shared files, line-of-business applications and remote access. Test from different areas of the office, not just beside the comms cabinet.
Keep a short list of priority users available for user acceptance testing. Finance, customer service, operations and senior leadership often rely on different systems, so their feedback can reveal issues that technical checks miss. Record faults, assign an owner and communicate expected resolution times clearly.
It also helps to prepare staff before the move. Tell them when systems will be unavailable, what equipment they should take home, how to access support and what to do on their first day. A simple floor plan, Wi-Fi instructions and printing guidance can prevent dozens of avoidable calls to the helpdesk.
Build support into the first weeks
The first week in a new office is when minor issues become visible: weak wireless coverage in one meeting room, a printer queue set to an old address, a missing cable at a hot-desk area or a video conferencing display that needs adjustment. Arrange additional support capacity for the first working days, including an on-site resource if the move is complex.
Document the completed environment once it is stable. Update network diagrams, asset records, passwords held in the approved secure system, support contacts and disaster recovery documentation. This protects the business well beyond the move and makes future changes easier to manage.
